Research Abstract

Job Summary:

An exciting opportunity is available for an Administrative Assistant to join one of HHMI’s laboratories located at the University of California, Los Angeles. The position requires that you perform high level administrative responsibilities supporting both Howard Hughes Medical Institute and University departmental functions.

Principal Responsibilities:

  • Initiate purchase requests throughHHMI and UCLA as needed, including determining best source/account.
  • Collect and assemble data used inpreparation of HHMI and UCLA budgets. Implement approved budgets and monitor expenditures of funds; reviewmonthly budget reports and investigate variances. 
  • Perform complex document preparationassignments.  Compose, proofread,research, and compile letters and/or special reports. 
  • Assist with the preparation andsubmission of grant applications and manuscripts.
  • Coordinate and schedule meetings forvisitors to the laboratories.  Maintainmeeting and appointment calendars.
  • Coordinate travel arrangements for theInvestigator.
  • Coordinate and plan for seminars, labmeetings and special events.
  • Coordinate and work on specialprojects and assignments.
  • Maintain office records of Institutepolicies and procedures and communicate changes to appropriate personnel.
  • Act as liaison to universitydepartmental offices and HHMI Office of Administrative Services.
  • Sort mail and maintain files. 
  • Perform other administrative duties asassigned. 

Preferred Qualifications:

  • Bachelor’s degree plus two yearsadministrative experience, preferably in an academic research environment.
  • Exceptional organization andproblem-solving skills required.
  • Ability to work independently, usegood judgment, meet tight deadlines and show initiative.
  • Must be detail-oriented andself-directed.
  • Must be a team player.
  • Excellent computer skills and in usingstandard office equipment.
  • Experience with Microsoft Officeapplications preferred.
  • Knowledge of scientific terminologyand familiarity with research laboratory operations strongly preferred.
  • Ability to learn tasks independentlyand to apply experience to develop new techniques.
  • Ability to communicate requiredinformation, draft routine correspondence and basic reports, keep accuraterecords of work performed.
